Job Opening: Events Project Manager (Part Time)

We’re looking for someone to take our event operations to the next level, handling everything from ideation to execution. You can learn more about the types of events/sponsorships we offer here.
We see our events as not only a way to gather folks, but to meaningfully curate experiences for both sponsors and attendees alike. We pride ourselves in obsessing over the details (for good and bad) and are looking for someone who shares that creative passion, but can balance it alongside operational efficiency.
The Role:
You’ll be building the engine that is our events business - helping us form repeatable playbooks and managing each event onsite.
Skills Needed:
- Being one step ahead of everything - One of the biggest parts of the role is being able to look around corners and imagine experiences as an attendee. In doing so, you are able to think about every detail before it even happens.
- You love to host - We see ourselves as more than just an event business, we also see ourselves as hosts. Your energy sets a huge tone for the experience of the attendees.
- Focused on quality - from the food vendors we use down to the types of cups we purchase, you care about each touchpoint of the attendee experience. This doesn’t mean buying the most expensive options, but it does mean focusing on the quality.
- Organized – You’re on top of timelines, budgets, and every moving piece. You love to build documents/project management docs that actually get used and maintained so that our future events can run even faster.
- Strong communicator – Whether it’s rallying vendors or coordinating with the team, you keep everyone in sync., especially because we are all remote and managing several events concurrently.
- You get energized by crisis (the good kind) – When things don’t go according to plan (and they won’t), you adapt and keep your cool. This is your element!
Responsibilities:
Event Execution:
- Plan and execute events from start to finish, ensuring they run seamlessly.
- Coordinate vendors, venues, and logistics with an eye for detail.
- Be on-site during events to oversee operations and tackle any last-minute challenges.
Creative Strategy:
- Collaborate with leadership (aka Danielle and Nikhil) to dream up new event concepts and engagement strategies.
- Experiment with layouts, activities, and other elements to make each event unique.
- Constantly gather feedback to refine and improve future events.
Communications, Operations & Back-Office:
- Create and maintain event project plans, budgets, and timelines.
- Work with our internal team to create websites and manage the application flows (most of our events are application based)
- Manage the content calendar for each event, including marketing over socials, communication within slack (we create slack groups for events)
- Communicate with sponsors to coordinate details of their involvement
- Manage or sponsorship CRM for events
- Source and research vendors within different cities.
- Track and manage event expenses to stay within budget.
- Choose tools and platforms that streamline operations (project management software, invoicing, etc.).
Qualifications:
- 2+ years of experience in event planning or project management. Does not need to be in the form of direct job experience.
- Experience managing on-site event operations and troubleshooting in real-time.
- Comfort with tools like Notion, Airtable, Google Suite, and project management platforms.
- Bonus points if you’ve worked on events in healthcare or tech, though not required (anyways we do them really really differently)
- Must be able to work in the US.
Compensation and Benefits:
We offer the following:
- This is a contract position with an opportunity to go full time depending on growth of company and performance
- Hourly rate - $55/hr
- We will host about 3-4 events outside of SF (location tbd), where travel onsite for about 4 days is required.
